Membership Application Process
Purpose
This document outlines the standardized process for new member registration at our Judo Club. This process ensures efficient onboarding, facilitates data collection, and fosters a positive first experience for potential members.
Scope
This process applies to all individuals seeking membership in our Judo Club, regardless of age, experience level, or chosen membership category. Exceptions will be clearly defined in Section Process.
Roles & Responsibilities
- Applicant: Completes application form, submits required documents, pays fees.
- Membership Coordinator: Receives applications, verifies information, processes payments, communicates with applicants.
- Head Instructor: Reviews applications for eligibility and suitability, approves membership.
- Treasurer: Manages membership fees and records financial transactions.
- Welcome Committee (Optional): Introduces new members and facilitates integration into the club community.
Process
- Eligibility evaluation
- Review membership types and eligibility criteria on the club website or inquire directly.
- Ensure you meet age, experience, and any other specific requirements for your chosen membership.
- Submission of Application
- Members have 14 days to submit the complete registration file, filled out and signed.
- Payment of fees
- Processing and approval
- Welcome and orientation
- Attend a new member orientation session to learn about:
- Club operations and policies
- Training schedules and rules
- Safety procedures and etiquette
- Training practice and spirit
- Contact information for coaches and staff
- Registrants may be introduced to other new members and paired with an experienced judoka for initial guidance.

Additional information
- Introductory classes or trial sessions may be offered for potential members before registration.
- Age-specific application processes may exist for children and minors.
- Membership renewals typically follow a defined timeline and procedure.
- The club website or staff will be able to answer any specific questions you may have about the registration process.
Exceptions
- Minors require parental/guardian consent and may have additional requirements.
- Special accommodations for individuals with disabilities will be assessed on a case-by-case basis.
- All exceptions will be documented by the Membership Coordinator and approved by the Head Instructor.
